Cancellation Policy

Cancellation Timeline

Cancellation fees are based on the timing of your cancellation request relative to the tour departure date (December 9, 2024). All cancellations must be submitted in writing through your booking portal.

90+ days before departure

Until September 10, 5

Full Refund

60-89 days before departure

September 11 - October 9, 2025

90% Refund

30-59 days before departure

October 10 - November 9, 2025

75% Refund

15-29 days before departure

November 10 - November 24, 2025

50% Refund

Less than 15 days before departure

After November 24, 2025

No Refund

Refund Processing

Processing Time: Approved refunds will be processed within 10-14 business days after cancellation approval.

Refund Method: Refunds will be issued to the original payment method used for booking.

Processing Fees: Payment processing fees (typically 2-3% of the transaction amount) are non-refundable and will be deducted from refund amounts.

Medical Emergencies

Cancellations due to medical emergencies may be eligible for enhanced refund consideration. Medical documentation from a licensed physician must be provided within 48 hours of the cancellation request. Each case will be reviewed individually.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect against unforeseen circumstances that may require tour cancellation. Travel insurance may provide coverage for cancellation fees not covered by our standard policy.

Organizer-Initiated Cancellations

In the unlikely event that the tour must be cancelled by the organizers due to circumstances beyond our control, participants will receive:

  • Full refund of all payments made
  • 60 days notice when possible
  • Assistance with rebooking on future tours

The organizers' liability is limited to refund of payments made and does not extend to other travel expenses or consequential damages.

Room Sharing Cancellations

For double room bookings, if one occupant cancels, the remaining occupant may:

  • Find a replacement occupant (subject to approval)
  • Pay the single room supplement to maintain private accommodation
  • Accept assignment to share with another solo traveler
  • Cancel their booking according to the standard cancellation policy

Force Majeure

Cancellations due to force majeure events (natural disasters, political instability, pandemics, government restrictions) will be handled on a case-by-case basis. Standard cancellation fees may be waived or reduced at the organizers' discretion.

How to Cancel

To cancel your booking:

  1. Log into your booking portal
  2. Navigate to your booking details
  3. Select "Request Cancellation"
  4. Provide reason for cancellation
  5. Submit required documentation (if applicable)
  6. Await confirmation and refund processing

Changes vs. Cancellations

Minor changes to your booking (name corrections, room type changes) may be possible for a small administrative fee and subject to availability. Major changes may be treated as cancellation and rebooking, subject to this cancellation policy.
